This Privacy Policy explains what information Clarivant collects, why we collect
it, who can see it, and how long we keep it.
Clarivant is a home performance audit platform used by two different kinds of
people. Contractors are energy-efficiency businesses that hold paid
subscriptions and use Clarivant to audit properties, produce reports, and
support their sales conversations. Homeowners use Clarivant free of charge to
see their own property information, audit results, and history. Homeowners are
never charged and are never asked for payment details.
The most important principle in this policy is this: the homeowner owns the
record of their property. A contractor can only see or add to that record
while the homeowner has granted them access, and that access is limited in time.
TODO before publication: the operating legal entity, its registered
address, the contact address for privacy requests, and the governing
jurisdiction must be filled in by the client, and the whole document reviewed
by counsel. Placeholders below are marked […].
1. Who we are
Clarivant is operated by [LEGAL ENTITY NAME], [REGISTERED ADDRESS]
("Clarivant", "we", "us").
A contractor that audits your property is a separate, independent business. It
decides on its own why it collects information about your home and how it uses
that information in its own operations. Clarivant provides the platform on which
that work is recorded.
2. Information we collect
Account information
- Your name, email address, and password. Passwords are handled by our
authentication provider and are never visible to us in readable form.
- Whether your email address has been verified. Verification is required before
you can use the platform.
- For contractor businesses: company name, business contact details, company
logo and branding, the list of technicians and their seats, and regional base
rates used for cost estimates.
- Subscription status for contractor accounts.
Property information
- Property address, year built, and other fixed characteristics of the building.
- Homeowner contact information recorded on the property.
- Installed equipment: type, manufacturer, model and serial numbers, and
nameplate specifications such as rated capacity, AFUE, and SEER.
- Site parameters such as region and target temperatures.
Audit measurements
- Field readings taken during a visit across the heating, cooling, and water
subsystems — for example temperatures, humidity, pressures, and flow rates.
- Electrical baseline information: service panel details, major appliances and
their ages, lighting by bulb type, and notable loads such as an EV charger or
pool pump.
- Inputs used for humidity control sizing.
- Which technician recorded each entry, and when.
Photographs
Clarivant treats photographs in three distinct ways, and the difference matters:
- Screenshots taken on the technician's own device are never uploaded to
Clarivant. They exist only on that device.
- Nameplate photographs are taken inside the app so the technician can read
equipment values off the plate while typing them in. They are transient:
once the values have been transcribed the photo is discarded. It is not stored
in your property record and is not shown to you.
- Safety-finding photographs are required whenever a technician records a
safety-critical condition — for example suspected vermiculite, active
knob-and-tube wiring, active moisture or mould, a cracked heat exchanger, or an
elevated carbon-monoxide reading. Between one and five photos may be attached
to a single finding, each carries a timestamp that cannot be edited, and a
finding cannot be submitted without at least one photo. These photographs are
kept permanently as part of the property record, because they document a
hazard and may be needed for legal or insurance purposes.
We do not extract data from photographs automatically. Values are always keyed in
by a person.
Information you provide as a homeowner
- Historical utility consumption, entered by hand or pasted from an export you
obtained from your utility provider.
- Your notification preferences, including whether you want early-warning alerts.
- Your decisions about which contractors may access your property, and when.
Records about other businesses
When a contractor engages an outside specialist — an electrician, an abatement
firm — a short note is recorded on the property: the company name, a contact
number, and a description of the work performed. This is a documentary record so
that you and any future contractor know who did the work.
Technical information
- Cookies necessary to keep you signed in and to remember your privacy choices.
- Basic device and browser information, and error reports generated when
something goes wrong, so that we can diagnose faults.
- Delivery records for the emails we send you, so that we can tell whether a
message arrived.
3. Why we use this information
- To run the audit workflow: recording measurements, calculating diagnostic
results, and producing reports.
- To build and preserve the history of your property, so that improvements can be
measured against earlier baselines.
- To document safety-critical conditions and to prevent the platform from
recommending work in an area that has been flagged as unsafe until a
professional has resolved it.
- To produce return-on-investment estimates, materials lists, and equipment
sizing advice that a contractor can present to you.
- To send you the messages the service depends on: invitations, access and
extension requests, alerts you have opted into, and completed reports.
- To administer contractor accounts, verify contractor businesses, and process
contractor subscriptions.
- To keep the platform secure, diagnose errors, and improve it. Where we analyse
usage to improve the product we work with aggregated or de-identified
information wherever that is sufficient.
We do not sell your personal information.
4. Who can see your property data
This is the part of Clarivant that differs most from an ordinary web
application.
- A contractor cannot grant itself access. Access must be granted by you, the
homeowner — either by approving a request, or by inviting the contractor
yourself.
- Access is time-boxed to 48 hours. When the window ends, the contractor's
ability to add or change data stops automatically. Nothing that was already
saved is lost. If the work is unfinished the contractor can ask you for a new
window, and it opens only if you agree.
- You can grant access to more than one contractor at the same time. Each has
its own independent window and its own timer, and you can revoke any of them
individually at any time.
- Contractors are isolated from each other. A contractor can read the history
of your property, but can only add or correct its own entries. It can never
edit or delete another contractor's work.
- Contractors cannot search for homeowners. There is no directory of
homeowners or properties for contractors to browse. A contractor cannot even
determine whether an address exists on the platform unless you have granted it
access.
- Every grant and revocation is logged with the time it happened.
- Our support staff can read across accounts in order to help contractors and
resolve problems, with limited ability to change audit data. This access exists
for support and platform maintenance, not for any other purpose.
5. How long we keep information
- Completed audits cannot be edited. Once an audit is submitted it becomes a
fixed snapshot. If a technician made a data-entry error, only that individual
field can be corrected, and the correction records who made it, when, the
reason, and the previous value. The original entry stays visible next to the
correction.
- Property history is never overwritten. A new measurement becomes the
current value while the earlier value remains as historical baseline, which is
what makes before-and-after comparisons possible.
- Safety-finding photographs are retained permanently for the reasons set out
in section 2.
- Nameplate photographs are discarded as soon as their values have been
transcribed.
- Account information is kept while your account exists. If you close your
account we may retain records we are required to keep, and information that
forms part of a property's permanent history or a safety record.
6. Service providers we rely on
We use a small number of outside providers to operate Clarivant:
- A payment provider, which handles contractor subscription checkout and
recurring billing. Card details go to that provider — Clarivant never stores
them. Prices and plans are managed inside the provider's own systems.
- An email delivery service, which sends the transactional messages described
above and reports back whether they were delivered.
- Authentication, database, and hosting providers, which store the platform's
data and keep the service running.
These providers act on our instructions and are not permitted to use your
information for their own purposes.
Clarivant also offers a convenience link to the AHRI Directory, a public
industry reference for HVAC equipment certifications. The link opens that site in
a new browser tab. Clarivant sends no personal information to AHRI and receives
no data back automatically — the technician reads the values and types them in.
Once you follow that link you are on a third-party website governed by its own
privacy policy.
7. Cookies
We use two kinds of cookies:
- Necessary cookies keep you signed in, allow the server to recognise your
session, and remember the privacy choices you have made. The service cannot
function without them.
- Analytics cookies help us understand how the platform is used so that we
can improve it. These are optional.
When you first arrive you are asked whether to accept all cookies or only the
necessary ones. You can change that choice at any time by clearing this site's
cookies in your browser and making a new selection.
8. Your choices
- See your data. As a homeowner you can view your property profile, every
audit report, and the full history of findings in your portal, free of charge
and without any paywall.
- Control access. You can grant, decline, and revoke contractor access at any
time, per contractor.
- Decide about alerts. Early-warning notifications are opt-in. If you opt out
we stop sending them. We will still send messages that are necessary to operate
the service, such as an access request that is waiting for your decision.
- Correct your information. Account details can be changed in your profile.
If a measurement in a completed audit is wrong, ask the contractor who recorded
it to issue a field correction — the change is logged and the original value
stays visible.
- Ask us for help. For access, correction, or deletion requests that you
cannot complete yourself, contact us at
[PRIVACY CONTACT EMAIL]. Depending on
where you live you may have additional statutory rights, and we will honour
them.
9. Security
Access to property data is limited by role and by time, as described in section
4. Passwords are handled by our authentication provider. Traffic between your
browser and Clarivant is encrypted. Password reset links expire one hour after
they are issued; invitation links expire after seven days; contractor account
activation links expire after fourteen days.
No system is perfectly secure. If a breach affects your information we will
notify you and the relevant authorities as required by law.
10. Children
Clarivant is a professional tool and is not directed at children. We do not
knowingly collect information from anyone under the age of [AGE THRESHOLD].
11. Changes to this policy
If we make a significant change we will update the effective date above and let
you know inside the application, so that you can review what changed before
continuing to use the service.
12. Contact
